Privacy Policy

Sky Cyber Sector processes information needed to run the website, user accounts, applications and downloads, license checks, SkyPaint, Sky Cyber Sector App, the Discord bot, dashboard, SkySync integrations, support workflows, music features, and assistant features.

Services in scope

This policy applies to skycybersector.ca, account pages, purchase and license flows, downloads, desktop app authentication, Discord dashboard tools, bot commands, moderation and security features, tickets, application forms, welcome and verification systems, SkySync provider linking, music playback commands, and the site assistant.

What data we collect

Account information such as username, display name, email address, phone number, hashed password records, account creation/update dates, linked login providers, and two-factor authentication settings.
Session and security information such as signed login cookies, trusted-device records for 2FA, request metadata, browser/device signals, operational logs, and abuse-prevention records.
License and purchase information such as product entitlement, license number, plan, status, expiration, provider name, PayPal payment link, transaction ID, subscription ID, and activation source. We do not store full payment card details.
Download and desktop app information such as requested app, platform, license validation result, update checks, installer/download access, desktop session authorization, and app feature entitlement checks.
Discord information such as user ID, username, avatar, guild/server ID, server name/icon, roles, channels, permissions, command interactions, webhook configuration, moderation actions, AutoMod setup, welcome messages, verification buttons, logging settings, and configured role/channel/category IDs.
Ticket, application, moderation, and safety information such as form questions and answers, ticket content, evidence, reasons, warning/flag records, appeal-related status, reviewer actions, message links, and audit or security logs.
SkySync and linked-provider information such as Roblox, Twitch, YouTube/Google, Patreon, GitHub, Steam, and Microsoft/Xbox Live account identifiers, usernames, profile metadata, OAuth tokens where required, refresh tokens where required, and provider signals used for role sync.
Music feature information such as YouTube links, Spotify song links or metadata, requested track details, queue state, requester ID, and playback troubleshooting logs.
Assistant feature information such as messages you send to the assistant, short conversation history, page context, logged-in Discord identity if present, and any attachments or text extracted from attachments that you submit.
Operational data needed for reliability, support, diagnostics, fraud prevention, abuse prevention, security monitoring, and legal compliance.

How the data is used

We use data to create and secure accounts, authenticate users, verify purchases and licenses, authorize downloads, connect desktop app sessions, provide updates, operate the Discord bot, show dashboard data, process tickets and applications, run moderation and security tools, apply configured role grants, send logs, and provide support.

SkySync data is used to link external accounts, verify platform signals, evaluate administrator-configured role rules, and add or remove Discord roles. Music data is used to resolve playable audio. Assistant data is used to answer questions, provide support, and route requests to the configured assistant provider.

Cookies and sessions

We use signed cookies and similar session records to keep users signed in, protect account access, remember trusted 2FA devices when enabled, and connect website sessions to Discord dashboard or desktop app flows. Blocking cookies may prevent login, licensing, dashboard, or checkout features from working correctly.

Data sharing

We do not sell personal data. Data is shared only when needed to provide the service, process user requests, protect the platform, or comply with legal obligations.

Depending on the feature used, data may be sent to Discord, Roblox, Twitch, YouTube/Google, Patreon, GitHub, Steam, Microsoft/Xbox Live, Spotify, PayPal, hosting or infrastructure providers, and configured AI providers such as SkyGPT, a desktop bridge, a local model, hosted AI, or an OpenAI-compatible endpoint. Third-party providers process data under their own terms and privacy policies.

International processing

Some third-party providers, infrastructure services, and connected platforms may process or store information outside Ontario or Canada. When information is processed outside Canada, it may be subject to the laws of the jurisdiction where it is processed.

Data storage

Data is stored only as long as needed for account access, active integrations, license records, server configuration, security logs, support history, audit trails, abuse prevention, and service operation. Linked account data, OAuth tokens, server settings, ticket records, application records, moderation records, and license records may remain until unlinked, deleted, replaced by configuration changes, expired, or removed during maintenance.

Some records, such as purchase/license history, security incidents, moderation flags, and abuse-prevention records, may be retained longer when needed for service integrity, dispute handling, legal compliance, or platform safety.

Retention periods

Retention periods vary by feature and may change as the service evolves, but we generally use these categories:

Account profile and license records are kept while the account or license remains active, and for a reasonable period afterward for support, billing, fraud prevention, and dispute handling.
Session cookies usually expire within days or weeks, while trusted 2FA device records may remain until disabled, expired, or removed during maintenance.
SkySync provider links and OAuth tokens remain until the user disconnects the integration, the token expires, or the record is removed during maintenance.
Server configuration, role rules, welcome settings, ticket setup, logging setup, and AutoMod settings remain while the bot or dashboard configuration is active.
Tickets, application submissions, moderation records, flag records, evidence records, audit logs, and security records may be kept for longer periods where needed for appeals, server safety, abuse prevention, legal compliance, or service integrity.
Assistant conversations, music lookup logs, diagnostic logs, and temporary operational records are kept only as long as reasonably needed for support, troubleshooting, abuse prevention, or improving reliability.

Security

We use reasonable safeguards for stored data and service access, including signed sessions, hashed password storage, restricted access to sensitive data files, and permission checks for dashboard and bot actions. No online system is perfectly secure,so absolute security cannot be guaranteed.

If we become aware of a security incident involving personal information, we will assess the incident and notify affected users, regulators, or other parties when required by applicable law.

Minors

Users must meet the minimum age required by Discord and any connected platform they use with Sky Cyber Sector. If a platform requires parental consent or restricts use by age, users are responsible for following those rules before linking accounts or using related features.

Server administrator responsibility

Server administrators control many dashboard and bot settings, including logging channels, role grants, verification flows, application forms, ticket setup, security rules, AutoMod, and SkySync mappings. Administrators are responsible for configuring these tools lawfully, limiting access to trusted staff, and informing their community where appropriate.

Public and community content

Content submitted in Discord servers, tickets, application forms, moderation evidence, webhooks, or public/community channels may be visible to server staff, configured review channels, bot logs, or other users depending on server settings and Discord permissions.

Your choices

You can stop using integrations by unlinking external accounts, removing SkySync rules, disabling bot modules, removing the bot from a server, signing out, disabling trusted 2FA devices, uninstalling desktop software, or contacting us for data-related requests. Some records may need to remain for licensing, fraud prevention, moderation integrity, security, support, or legal reasons.

Access, correction, and deletion requests

You may request access to personal information we hold about you, request a copy where reasonably available, and challenge the accuracy or completeness of that information. This includes asking us to review inaccurate account details, linked-provider records, moderation records, or flag records. Users may challenge the accuracy or completeness of moderation records or flag records, including through the appeal process where applicable.

You may request deletion of personal information by contacting us. We may need to retain certain records where necessary for active licenses, payment or tax records, security, fraud prevention, abuse prevention, unresolved disputes, moderation integrity, appeals, legal compliance, or backup/maintenance processes.

Consent withdrawal

Where processing depends on consent, you may withdraw consent by disconnecting integrations, revoking third-party access, disabling optional features, removing the bot from a server, or contacting us. Withdrawing consent may stop related features from working. Necessary retained records may still be kept for the reasons described in this policy.

Policy updates

We may update this Privacy Policy as features or legal requirements change. Continued use of Sky Cyber Sector after updates means you accept the revised policy.
